TS Job List

This is the list of Tournament Staff  (TS) jobs available at HARO Tournament. Jobs are assigned on first come first served basis. Make your selection among the open jobs, and RSVP to one of two orientation sessions to houstonvols@txodyssey.org. When all these positions are filled, remaining TS will be asked to help all day at tournament. All TS working on tournament day can take a break to enjoy their team perform.

Spontaneous Workshop TS
(OPEN)

Coordinates registered teams for spontaneous workshop, plans schedule, organizes team flow on the day.
ESTIMATED EFFORT. 2-3 hours liaison by email early November. 5 hours on-site at workshop November 18.

Judges Training Check-In & Hospitality TS
 (OPEN)

Works with Judge Coordinator to set up judge training check in, coordinates check in volunteers, organizes triage for non-registered judges.. Helps with data entry at end. Computer data entry.
Responsible to coordinate ordering, setup and pack-up snacks (150 persons) at Judges Training February 10 (different location than Tournament Site). Volunteers will be available to assist.
ESTIMATED EFFORT. 1 hour liaison by email with Judge or Volunteer Coordinator the week before Judges Training. Purchase of fresh items (milk, juice) the day before. Pick up coffee in the morning then on site at Judges Training February 10.

Paperwork Check
(OPEN)

Responsible to coordinate some all day/judge volunteers who will review the competing teams’ paperwork after they go through registration. Requires at least 3 years in the Odyssey of the Mind program as a parent, coach, judge or other. Will perform additional duties in the afternoon after close of Paperwork Check,
ESTIMATED EFFORT: 3 hours at Judges Training on February 10 or alternate date to recruit and train the 5 judges. 7 am to 430 pm on tournament day. TS can take a break to enjoy their team perform.

Printed Program TS (N/A for 2018)

Coordinates creating, editing and printing the tournament program. This involves a lot of email. Works gathering the information and getting proof approved. Coordinates with printer and arranges delivery. Must be proficient in word processing and work with styles.
ESTIMATED EFFORT: 8-10 hours in the two weeks before tournament.

Reproduction TS
(claimed)

Responsible to print and prepare training packets. Copy signatures on Participation certificates & sort into piles of 7. Paper provided.
ESTIMATED EFFORT: 4-5 hours for printing, 1-2 hours for Seniors invitations.

Supplies TS
(OPEN)

Responsible for preparing problem buckets for supplies. Check stop watches. Purchase supplies if necessary. Help create problem captain materials files. For this job, orientation will take place at the storage unit (Washington @ Sawyer), on a day mutually agreed.
ESTIMATED EFFORT: Two half days for inventory and then replenishing, as well as 3-4 hours administration and communication. Done in January/February.

Tournament Signs TS (OPEN)

Makes directions signs for tournament. This includes directional signs, venue signage, etc. On set-up day, coordinates with several 2-hr volunteers to post all signs, inflate and hang balloons.
ESTIMATED EFFORT: 4-5 hours before tournament. 2-3 hours onsite Friday evening before tournament.

Food Purchase TS (OPEN)

Responsible for purchase of food from SAMS or Costco. This is for Judges/Officials lunch and snacks at tournament. Usually done online (for most) or can go into store. Dry goods can be purchased the weekend in advance and loaded onto the carts at the warehouse (Washington @ Sawyer) for transport to tournament in Waller, if needed. Pick up, verify/substitute as needed the Friday before tournament. We will arrange for someone with Costco card to meet you at check-out and pay.  Deliver to tournament site.  Set-up food area with 2-hr volunteers and organize pantry items from warehouse. Prepare coffee for breakfast. We recommend someone with minivan or tuck.
ESTIMATED EFFORT: 3-4 hours ahead of time online. 3-4 hours on the Friday afternoon before tournament.

Officials Drinks TS (claimed)

Responsible to take care of drinks (sodas, ice tea, etc) for Officials. Collect drink orders from Judge Training coordinator by email. Place orders online (Sam’s or Cosco). Go take delivery/verify the order, on the Friday before tournament. We will arrange for someone with Costco card to meet you at check-out and pay. Option to have own transportation (consider weight of load) or to coordinate with Transportation TS for pick-up by our truck and delivery to competition site. On-site coordination of loading drink coolers then  distribution to each judging team.
ESTIMATED EFFORT: 2-3 hours ahead of time online and at store. 3 hours on-site on the Friday afternoon before tournament.

Thank you Cards TS
(OPEN)

Responsible for preparing thank you activity table supplies, and setup table at tournament. Coordinates with 2-hr volunteers when available .
ESTIMATED EFFORT: 2 hours ahead of time. On-site from 9 am to 3 pm on tournament day. TS can take a break to enjoy their team perform.

Storage Unit TS (OPEN)

Responsible to verify packing list at storage unit on Washington @ Sawyer and secure all carts for transportation, work with 2-hr volunteers to roll wheeled carts onto truck. Coordinate delivery at tournament site in various locations. For this job, orientation will take place at the storage unit, the Saturday before tournament. 
ESTIMATED EFFORT: 2-3 hours the weekend before tournament. 2-3 hours on the day before tournament.

Judges T-shirts – Site prep TS (OPEN)

Responsible to coordinates 2HV volunteers: label and sort judges t-shirts. Prepare judges check-in area. Review needs of Problem Captains and organize volunteers to set-up venues. Taping of pre-staging area outside venues.
Detail oriented, working with spreadsheets.
ESTIMATED EFFORT: 2-3 hours generating labels at home, 3-4 hours on-site Friday evening before the tournament.

Friday before - Dinner TS
(OPEN)

Responsible for preparation/ordering and set up of dinner for Senior Staff preparing Tournament Site (approx. 50 people). Will also help organize the kitchen supplies from the truck and set-up breakfast for the following morning. 2-hr volunteers will also be available to help.
ESTIMATED EFFORT: 2 hours advance preparation. 3-4 hours onsite the Friday evening before competition.

Officials Breakfast TS
(OPEN)

Responsible for breakfast for judges and officials on Tournament day. Coordinating the ordering, delivery, setup, serving and packing. Taco Cabana (or similar) and coffee. We will have 2-hr volunteers available for serving.
ESTIMATED EFFORT: 1-2 hour to coordinate ordering. Then on-site at Tournament from 6:30 to 10 am. TS can take a break to enjoy their team perform.

Officials Hospitality TS
(OPEN)

Responsible for room setup, Food prep, serving and clearing up of lunch and snacks for judges and officials. Typically, Chick-Fil-A plus salad. Will supervise several 2-hr volunteer on tournament day to prep and distribute food and ice as needed, the cleanup and pack all our supplies. There may be a second lunch room for judges to coordinate, if the tournament uses a second school.
ESTIMATED EFFORT: On site from 8 am to 3 pm on tournament day. TS can take a break to enjoy their team perform.

Second Site Hospitality TS  (N/A for 2018)

This year we are using a second site again. Responsible for Officials hospitality room setup, coordinate meals/snacks with primary site. Supervise the 2-hr volunteers at pin sales point and general service for the site.

Pins & T-shirt TS (Waller HS) (OPEN)

Responsible for supervision of pins sales and t-shirt preorders pick-up. Will coordinates 2-hr volunteers in all sales points and keep payments secure. Organize inventory and packing at end of day.

Pins & T-shirt TS (Second Site) (N/A for 2018)

Paul Revere Cashier TS  (tentative)

Responsible for recording collections from Pins & T-shirts, logging checks and counting money. Must be known to HARO for 3+ years. Subject to approval of appointment.
ESTIMATED EFFORT: On site from 8 am to 3 pm on tournament day. TS can take a break to enjoy their team perform.

Second Site Cashier TS  (N/A for 2018)

Responsible for recording collections from Pins & T-shirts, logging checks and counting money. Must be known to HARO for 3+ years. Subject to approval of appointment.
ESTIMATED EFFORT: On site from 8 am to 3 pm on tournament day. TS can take a break to enjoy their team perform.

Hallway Patrol - Safety TS (OPEN)

Responsible for supervising 2-hr vols working hallways and addressing safety concerns inside and outside of tournament building. Explain jobs at shift changes. Make sure props are against walls. Watch for horseplay.
ESTIMATED EFFORT: 6-8 hours on-site on tournament day. TS can take a break to enjoy their team perform.

Team Check-in TS (OPEN)

Responsible for supervising team check-in table on tournament day. Every 2-hr volunteer is provided with a binder containing all check-in information for a specific problem (this is compiled by TX Odyssey administration). Responsible to explain job to 2-hr vols at each shift and provide continuity and assist teams that are running late.
ESTIMATED EFFORT: 7 am to 3 pm on-site on tournament day. TS can take a break to enjoy their team perform.

Volunteer Check-in TS (claimed)

Responsible for supervising volunteer check-in table on tournament day. Provides instructions at each shift change. Manages placement of floater and high school volunteers. Verifies and issues Community Hours certificates for HS volunteers. Covers last minute needs.
ESTIMATED EFFORT: On-site 7 am to 4 pm on tournament day. TS can take a break to enjoy their team perform.

Tear down and packing (OPEN)

Responsible to coordinate the volunteers who will tear down each venue to ensure that nothing is left behind. Supervise packing of supplies, permanent signage, electrical supplies, pins & t-shirts. Manage loading of trucks depending on destination. Supervise offload and storing at warehouse.
ESTIMATED EFFORT: 3-4 hours Saturday afternoon on tournament day (typically 3 to 7 pm).

Transportation TS (OPEN)

Responsible for driving truck that will carry supplies to and from the tournament (volunteers will be available for loading/unloading). Sample route: Pick up rental truck, pick-up preordered drinks from Sam's, meet team at warehouse to load problem buckets, merchandise carts, awards, etc. then go to tournament site. Then return to warehouse (Washington @ Sawyer) and return rental after tournament. Must be able to drive large box truck and be in good shape, and wear appropriate attire. Our long time driver was an OM Mom and did a great job for 3 years!
ESTIMATED EFFORT: 4-5 hours Friday before tournament, 2-3 hours evening of tournament or Sunday morning.

Awards TS
(OPEN)

Coordinates ordering, sorting, setup, inventory of award trophies and medals. Hangs Omer sign. Packs-up (including OMER sign) and ensures everything is loaded in trucks after ceremony. Follows up with teams who were not present to collect awards or medals
ESTIMATED EFFORT: 5-6 hours ahead of time for ordering. 3-4 hours on tournament day before and after Awards ceremony.
